Administration Manager

Responsibilities

1. General Office Management:

  • Oversee the day-to-day office operations to ensure smooth functioning.
  • Provide general support to visitors.
  • Address employees' queries regarding office management issues (e.g. stationery, Hardware and travel arrangements).
  • Coordinate administrative matters with the Shanghai and Korea offices.

2. HR Documentation and Employee Management:

  • Update and maintain employee records.
  • Support PR and Citizenship application processes for employees, assisting with the documentation and submission required for these applications.
  • Handle employee documentation, including preparing and managing letters of offer, employment contracts, NDDA agreements, and other personnel-related documents.
  • Assist in the onboarding process for new hires.
  • Provide ongoing administrative support for various employee-related processes, such as tax filings, IR21 forms (tax clearance), Withholding Tax, documentation preparation, and compliance with local regulations.
  • Coordinate with the infrastructure department on all office equipment.
  • Facilitate the handling and distribution of external surveys, ensuring timely and effective data collection.

3. Compliance and Financial Duties (Yearly):

  • Manage and track employees' Annual Leave (AL) to ensure accurate records and monitoring.
  • Submit Auto-Inclusion Scheme (AIS) reports required by IRAS.

Qualifications

Minimum Qualifications

  • Bachelor's degree in Business Administration, HR, or a related field.
  • Strong organisational and time management skills.
  • Proficiency in managing procurement processes and vendor relationships.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software like G Suite, Slack, or similar tools.
  • Familiarity with HR documentation and local tax filing requirements (IR21, AIS, etc).
  • Ability to handle multiple tasks, including surveys, documentation, and office equipment management.
  • Excellent communication skills to support employees with applications (e.g., PR, citizenship) and aid updates.
