Administrative and Secretarial Officer (Japanese speaking, Real Estate, CBD)
Our client is currently seeking a reliable and detail-oriented individual to join their team as an Administrative and Secretarial Officer. As a small and close-knit company, they value stability and long-term commitment in our employees. Job Responsibilities:
- Draft schedules for regular payments and request payments to the accounting firm (twice a month)
- Update service contracts with the external companies annually
- Handle corporate tax (coordinate the external company, submit necessary documents twice a year)
- Manage personal income tax and GST submissions (coordinate with the accounting firm)
- Draft monthly budget reports and quarterly consolidated packages for the head office in Japan
- Manage service fee invoices (coordinate with head office twice a year)
- Assist with audit-related matters
- Coordinate drawdown requests and loan interest invoices with a local subsidiary company in Jakarta (monthly and twice a year)
- Handle loan interest invoices from a local subsidiary company in Jakarta. (draft documents, coordinate with PIC, twice a year)
- Handle document shipping and the company’s regulations updates
- Arrange fixed deposit bidding, expatriate visa renewals, and renewals of contracts for cars, hotels, and memberships (annually)
- Manage petty cash and business trip expenses for expatriates
- Ad hoc expatriate Support (Assist with research and preparation of materials for new development and investment projects, manage petty cash and business trip expenses for expatriates)
Job Requirements:
- Background in accounting, finance, or business administration will be required
- Financial support experience in drafting payment schedules, managing service contracts, and coordinating tax submissions to the external companies will be preferred
- Administrative experience including handling visa renewals, contract renewals, and petty cash management for expatriates will be preferred
- Proficient in Japanese language skills will be required for liaising with the stakeholders
- Strong organizational skills and attention to detail required
