Overview
As an administrative assistant, you will provide essential support to our team, handling various administrative tasks with efficiency and attention to details. Your role will involve organising documents, managing communication, and assisting in day-to-day operations. You will also be working closely with the operation director, facilities manager, and other team members to ensure that the services as agreed under the contract have been properly executed and delivered to the required standards.
Responsibilities:
- Handling and transferring of phone calls and emails.
- Facility management support includes total well-being and all matters relating to the office facilities such as maintenance schedules, pest control, cleanliness, security, pantry, assets, IT related matters etc.
- Provide administrative support to office and operations department including documentation, claims, quotations, stationary inventory, filing, photocopying, scanning etc.
- Assisting in project related works, including preparation of contractual document and upkeep projects progress status.
- Liaise with ground team in relation to facility maintenance to ensure smooth operation in the office/sites.
- To support customer service whenever required.
- Any other duties as assigned from time to time.
Requirements:
- Candidate must possess at least an O level/NITEC qualification.
- Fresh graduates from ITE are welcome to apply.
- Proficient in Microsoft Office (Microsoft Word, Excel, and PowerPoint.
- Well organized, meticulous, detailed and a good team player.
- Ability to work independently with minimum supervision and under pressure at times.
- Effective at prioritizing, organising, and meeting task deadlines.
- Possess a positive and keen to learn attitude.
