Job Responsibilities
You will play an important role in:
1) Proposal Management
- Manage administrative tasks related to proposal development to ensure timely and high-quality submissions.
- Help organize the logistics of the proposal process, including meetings and deadlines.
2) Documentation Creation
- Assist in creating client proposals, contracts, and related documents in English and occasionally in Mandarin.
- Gather relevant information to showcase the company’s capabilities in proposals.
3) Team Collaboration
- Work with different departments (finance, project management, marketing) to provide support during the proposal process.
- Facilitate communication among teams to align with client needs.
4) Client Analysis and Meeting Coordination
- Prepare for business meetings by collecting information about clients’ histories and current status.
- Conduct research to understand client industries and market trends.
5) Database Management
- Maintain and update internal databases to keep client and project information accurate and accessible.
- Analyze fee structures across regions to identify trends and opportunities for improvement.
6) Administrative Support
- Provide general administrative support, including scheduling meetings and coordinating proposal presentations.
- Assist in onboarding new clients by preparing introductory materials.
7) Ad-Hoc Tasks
- Handle other tasks as assigned by management, showing flexibility in meeting team needs.
- Help improve proposal processes and documentation based on feedback.
8) Quality Assurance
- Ensure all proposals are proofread and meet company standards before submission.
- Gather feedback after submissions to enhance future proposals.
Requirements
To succeed in this role, we will need you to be:
- Candidate must possess at least a Diploma or Degree in Business Studies/Administration/Marketing, or equivalent Professional Qualifications
- Minimum 2 years of working experience in related field
- Preferably Executives specializing in Marketing/Business Development or equivalent
- Experience in bids and tendering procedures an advantage
- Added advantage for candidates with extensive network or working experience in the Architecture/Landscape Architecture industry
- Proficient in Microsoft Office, Photoshop, InDesign an advantage
- Good work ethic, time management, and teamwork
- Self-driven, good interpersonal skills, meticulous, strong critical thinking and analytical skills
- Excellent command of written and spoken English and Mandarin
