Job Description:
- Diary & Schedule Management: Organize and manage the executive’s professional and personal calendar, ensuring all meetings, appointments, and events are properly scheduled and prioritized.
- Travel Arrangements: Plan and coordinate business and personal travel, including booking flights, accommodation, and preparing itineraries.
- Correspondence: Handle and manage emails, phone calls, and other communications on behalf of the executive, acting as a gatekeeper and ensuring timely follow-up.
- Event Coordination: Assist in organizing both business-related and personal events, such as meetings, conferences, and social engagements.
- Document Preparation: Prepare reports, presentations, and other documents as required. Ensure all necessary materials for meetings and events are well-organized.
- Task & Project Coordination: Support the executive in managing ongoing projects and assignments, ensuring tasks are completed on time and to a high standard.
- Personal Errands: Assist with personal tasks, including managing household appointments, family schedules, and other personal affairs as needed.
- Liaison Role: Serve as a point of contact between the executive and internal/external stakeholders, ensuring effective communication and coordination.
- Meeting Support: Organize and coordinate meetings, prepare agendas, take minutes, and follow up on action points.
- Confidential Information Handling: Maintain discretion and confidentiality at all times, especially when dealing with sensitive personal and business matters.
- Other ad-hoc tasks assigned by Senior Manager.
Requirements:
- At lease 3 years proven experience as a Personal Assistant or in a similar role.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent verbal and written communication in both English and Chinese. (required for coordinating with HQ in Taiwan)
- Ability to maintain confidentiality and handle sensitive matters.
- Strong problem-solving skills and the ability to work independently.
- Proficient in office software (e.g., Microsoft Office).
