Administrative Executive (9AM - 4PM)

Knoc Trading Singapore Pte. Ltd.

We are seeking an organized and detail-oriented Administrative Executive to join our company. The Administrative Executive will be responsible for overseeing the day-to-day administrative work in the office, ensuring that administrative tasks are completed efficiently and effectively. Having accounting experience would be an added advantage. The successful candidate must have excellent communication skills in English, strong attention to detail, and the ability to work independently. Responsibilities:

Human Resource

  • Effectively maintained staff’s individual leave and time-off records and medical records
  • Prepare statistics and surveys (MOM – Labour Market Survey and Statistics Singapore)
  • Process and maintain employer’s and family’s insurance
  • Application and renewal of S pass and dependent passes for employer and family
  • Onboarding and Offboarding of Director and Manager
  • Handling the office cleaner’s matters

Administrative

  • To clear daily incoming mails
  • To prepare snacks for the clients and visitors
  • To draft official letters when needed
  • To ensure proper filing, photocopying and any other admin duties
  • Liaising with property agents on housing matters.

Accounts

  • Sales invoices
  • Cheque payments
  • Processing of Director’s and Manager’s salary
  • Month end reports
  • Liaise with accountant and auditor on the yearly accounts and audits
  • Banking matters for the company

Printing & Purchasing

  • Liaise with vendors to purchase general office supplies for replenishment
  • To receive payment invoices and to prepare payment vouchers
  • To liaise with vendors to order for toners, papers, drinks, cutleries, stationeries, etc.
  • To source and maintain quotations when needed.
  • To ensure and maintain stock of stationeries and stamps.

Office / Car/ Home Maintenance

  • To ensure agreements and rentals are renewed.
  • To maintain housing and car rental payments.
  • To ensure office insurance is renewed

Miscellaneous

  • To ensure that the groceries are filled in every month.
  • Maintain office in the absence of the Director and Manager.
  • Any other work as assigned by employer.

Requirements:

• Diploma holder or relevant experienced in the field for more than 5 years

• 3-5 years of work experience as an Administrative Executive or similar role

• Strong organizational and time management skills

• Excellent communication and interpersonal skills

• Proficient in Microsoft Office and other relevant software

• Ability to work independently

• Detail-oriented and highly organized

• Ability to multitask and prioritize effectively

• Ability to maintain confidentiality and discretion
