The Role for Sales Administrator

At Sustenir, we are a purpose driven company looking for passionate and energetic individuals with the initiative to take on new challenges.

Position: Sales Administrator

Reporting to : Head of Sales

Working location: 8 Admiralty Street, Admirax, Singapore 757438

Preferred nationality : Must be Singaporean/PR

Salary : $2500-$3000

  • PO Retrieval and Order Processing:
    • Retrieve Purchase Orders (PO) from portals, emails, or customer chats.
    • Update retrieval of PO for order processing and customer pick list in an Excel database.
    • Handle order processing from order receipt to ensuring goods delivery.
    • Process customer orders using ERP Software Dynamics365 to generate invoices, delivery orders, and extract data.
  • Credit Note Processing & E-Invoice Submission:
    • Process credit notes for any sales or operations issues.
    • Submit e-invoices and CTC copies for key customers like RedMart, RWS, and DFI group.
  • Documentation and Filing:
    • Scan, print, and file invoices for safekeeping and audit checks.
  • SKU Management:
    • Manage SKU assembly and tracking in the ERP Software.
  • Customer and Internal Coordination:
    • Liaise and communicate with customers daily on order and delivery matters through various social platforms (mainly email, WhatsApp, and phone calls).
    • Act as the point of contact between customers and merchandisers for order-related issues.
    • Arrange Lalamove for ad-hoc sales and marketing activities.

Qualifications:

  • Must be Singaporean or PR
  • 2-3 years’ experience in a similar sales admin role.
  • Proficiency in Microsoft Excel and ERP software, preferably Dynamics365.
  • Good communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work under pressure and meet tight deadlines.
  • Experience in the FMCG sector and familiar with e-invoicing systems and customer portals is preferred.

Working Conditions:

  • 5 days work from office (Monday to Friday, 8.30am-5.30pm); Occasionally need to cover for Saturdays when partner is on leave (8.30am-12.30pm)
