Job Summary:

We are seeking an experienced and detail-oriented Facilities Operations Executive with a background in managing commercial buildings or shopping malls.

The ideal candidate will have a strong understanding of facilities management, including maintenance, compliance, and tenant relations, and will ensure that all activities comply with TAFEP (Tripartite Alliance for Fair and Progressive Employment Practices) guidelines and relevant regulatory standards. The role is key to ensuring safe, efficient, and cost-effective facility operations while maintaining high standards of service for tenants, visitors, and other stakeholders.


Responsibilities:

  • Oversee the day-to-day operations of the commercial building/shopping mall, including managing preventive and corrective maintenance for electrical, mechanical, plumbing, and HVAC systems.
  • Coordinate with contractors and service providers to ensure timely and quality repair work, refurbishments, and preventive maintenance activities.
  • Monitor building systems and infrastructure to ensure optimal performance, cost-efficiency, and minimal downtime for tenants and patrons.
  • Ensure all building operations meet TAFEP guidelines, emphasizing fair and progressive employment practices.
  • Maintain compliance with local and national regulations, including building codes, fire safety regulations, and health and safety standards.
  • Conduct regular inspections and audits, documenting compliance and addressing any deficiencies through corrective actions.
  • Serve as the primary point of contact for tenants, addressing their maintenance requests, inquiries, and concerns in a timely and professional manner.
  • Conduct regular tenant meetings to provide updates on building operations, safety measures, and new policies or procedures.
  • Develop and implement emergency response plans, including fire drills, evacuation procedures, and first-aid readiness.
  • Coordinate with security teams to ensure a safe environment for tenants, employees, and visitors.
  • Act swiftly to resolve issues or emergencies, minimizing impact on operations and maintaining a safe environment.
  • Support and guide on-site facility teams, ensuring clear communication of responsibilities and adherence to company policies.
  • Foster a collaborative work environment, encouraging the continuous development of facility personnel.
  • Participate in regular training on industry best practices and compliance standards to enhance team skills and maintain a safe and professional workplace.

Qualifications:

  • Diploma or Bachelor’s Degree in Facilities Management, Engineering, Building Services, or a related field.
  • Minimum 3-5 years of experience in facilities management within commercial buildings or shopping mall environments.
  • Strong understanding of TAFEP laws and experience in maintaining compliance with fair employment and safety standards.
  • Proven knowledge of building systems (HVAC, MEP) and experience coordinating with vendors and contractors for facility maintenance.
  • Strong communication and interpersonal skills, with the ability to handle tenant interactions professionally and maintain positive relationships.
  • Ability to manage budgets effectively, analyze costs, and implement cost-saving measures.
  • Proficient in MS Office Suite and facilities management software/tools.
