ESSENTIAL DUTIES AND RESPONSIBILITIES
You will be primarily responsible for the full spectrum of Admin activities for the CU Lines Group within your portfolio. You will work closely with your direct superior to define our Admin strategy and execute the day-to-day operations, while supporting the Business in its growth and transition.
- Provide administrative support including travel arrangements, flight reservation, hotel accommodation and Visa application for employee’ travelling etc.
- Prepare monthly admin expenses reports in a timely and accurate manner.
- Responsible for maintaining Admin documentation including data entry, filing etc.
- Planning and coordinating administrative procedures and systems streamline processes.
- Plan, forecast and manage general office and pantry supplies and related expenses.
- Liaise with contractor, vendors and suppliers for any issues relating to office matters (eg. maintenance and service of equipment, cleaning service, renovation, plants maintenance).
- Manage corporate gift and Submit invoice via company software “Ding Talk”.
- Assist in setting up of meeting rooms and provide first level support in terms of meeting room equipment, and welcome screen of visitor and ensure meeting room(s) presentation is an always clean and tidy.
- Responsible for internal and external courier management (receive, courier out)
- Perform sourcing and buying when require, and restaurant sourcing for Management.
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
- Possess a Degree in Business Administration or equivalent.
- At least 3 years of relevant working experience. Candidates with no relevant experience may still apply and will be further vetted on a case-by-case basis.
- Critical characteristics we are looking out for: Independent, responsible, focused on getting tasks done, ability to multitask, detail-oriented, conscientious, and highly adaptable.
- Proficient in Microsoft Office, especially Excel and Power Point skills.
- Excellent people skills and communication skills.
- Strong attention to details and effective analytical skills with ability to understand complex information.
- Good ethics and professional conduct, with strong sense of responsibility and teamwork spirit.
- Effectively bilingual in both English and Mandarin (as the position needs to frequently communicate with English/Chinese speaking associates verbally/ in writing whenever appropriate.
- Good organizational, time management skills and stress tolerance with proven ability to manage multiple priorities.
