We are looking for a professional individual who is passionate about creating a nourishing workplace, to provide support to office. You will perform a variety of office administrative tasks and will act as the first point of contact for related queries from the facilities vendors and contractors
Roles and Responsibilities:
- Space planning/design knowledge and project management skills in facilitating office renovation works, international offices set-up and moves
- Support the key office infrastructure both in set-up and administration office lease, IT systems, equipment purchase and registration
- To coordinate with the contractors, vendors, service providers, external authorities, and key stakeholders in the daily and periodic maintenance of the office and implementation of the office maintenance policies
- Conduct end-user surveys, consolidate requirements and translate the said requirements into technical and functional terms for contractors to implement the design
- Lead the negotiation with the building management and various contractors
- Grow the efficiency of existing organizational processes and procedures to enhance and sustain the organization’s internal capacity
- Actively pursue strategic and operational objectives including examining financial data and monitor KPIs
- Assisting with implementation of budgetary controls
- Assisting the CEO by overseeing key projects and assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans.
Requirements:
- Bachelor’s degree in Administration/Business Management/Interior Design or any related discipline with at least 8 years of coordinating / project management experience.
- Experience in interior design is advantageous as this position requires design knowledge for future office expansion
- Excellent communication, organizational and time management skills.
- Outstanding people skills and able to work well across the organization, good interpersonal and communication skills with a positive attitude and take ownership in the roles and projects.
- Good knowledge of the use of different interior finish materials together with their specifications
- Good flair in details and keen on design trends
- Proven track records of managing space planning design projects in established organisation will be a great advantage.
- Solid understanding of the whole cycle of the commercial renovation works, office set up and moves to meet tight deadlines and budget
- Comfortable to work during weekends and public holidays, if required
