The individual will need to have knowledge of Singapore accounting principles and tax laws. Good interpersonal skills would enable the successful candidate to build relationships within the office and across the firm. You will possess good IT skills including Microsoft Excel and accounting systems (3E is preferred). The successful candidate will liaise with other Hogan Lovells management personnel and international offices as required.
KEY RESPONSIBILITIES
You will be responsible for the accounts payable and general ledger functions for the office. Your main finance responsibilities will include the management or support of:
- Verifiying and processing vendor invoices and staff claim on a daily basis
- Ensuring expenses are duly approved, coded to appropriate GL account codes (including input tax) conforming to firm’s standard
- Ensuring supporting documents are complete and legitimate
- Evaluating all account payable balances and ensure accuracy in general ledgers
- Taking ownership of the assigned payment requests and process payments in accordance with credit terms
- Acting as a point-of-contact for addressing inquires and/or issues on AP and payment procedures.
- Training and guiding internal & external stakeholders on proper AP procedures
- Preparing bank reconciliations and travel agency reconciliation
- Participating in month-end closing process
- Posting month-end journals (include but not limited to fixed assets depreciation, prepayments, bank revaluation and expense reclassification)
- Preparing assigned Balance Sheet schedules (include but not limited to Accounts Payables Aging, Fixed Assets Register and Prepayments)
- Assisting in external audits (include but not limited to preparing audit schedules and liaise with external parties / auditors for yearly audit)
- Preparing Accounts Payables Audit Confirmation responses
- Maintaining petty cash and post petty cash transactions into the financial system
- Providing assistance within the department in the absence of other team members
- Familiarising and complying with the firm's policies and procedures as well as relevant law and requirements applicable to anti-bribery and money laundering to provide support to stakeholders
- Collaborating and developing strong working relationships with members of the Hogan Lovells Finance team regionally to establish financial processes, procedures, controls and reporting for the firm
- Any adhoc duties and projects as required, such as assisting in preparations for the budget
QUALIFICATIONS
As a dedicated and motivated individual with the drive to succeed, you will ideally have the following qualifications and experience required for the position:
- A minimum of 3 years of finance experience
- Accounting qualifications
- Experience in legal firms, professional services environment or partnership model preferred
- Possess strong knowledge of Singapore GST regulations.
- Proficient in MS Office (Word, Excel)
- Strong attention to detail and organisational skills
- Ability to work under time pressure and meet tight deadlines
- A pro-active attitude
- Ability to perform as an effective team player and work independently
- Willing to cover Billings and Accounts Receivables duties
