Facilities Admin Assistant (Jalan Besar/ Up to $3K/ AWS)

Position Overview:

The Building Management Officer is responsible for ensuring the smooth operation and maintenance of building systems and services. This role involves overseeing building security, facilities, equipment, cleanliness, and compliance with safety regulations. The Building Management Officer will work closely with various departments and external vendors to ensure the building is safe, functional, and well-maintained.


Key Responsibilities:

1. Building Reception

· Manage the reception counter of the Allinton building


2. Door Access Management

· Monitor access control systems and generate reports on incidents and security breaches.

· Manage user access permissions, ensuring appropriate access levels for staff and visitors.

· Handle requests for access changes and revocations.

· Respond to and resolve technical issues with access control systems, coordinating repairs and upgrades as needed.

· Develop and implement emergency response plans related to access control, including lockdown procedures and evacuation plans.


3. CCTV Management

· Manage the operation of all CCTV systems, ensuring coverage across the facility.

· Manage the storage and retrieval of CCTV footage

· Monitor live feeds and recorded footage to detect and respond to security incidents or suspicious activities.


4. Electrical Management

· Diagnose and resolve electrical issues, coordinating repairs and maintenance with technicians as needed.

· Maintain accurate records of inspections, repairs, and compliance documentation. Prepare reports for management.


5. Lift management

· Provide oversight on the maintenance contract

· Monitor the daily operation of lift systems

· Schedule maintenance and servicing

· Respond to malfunctions and coordinate repairs with technicians

· Maintain records of inspections, maintenance, incidents, and repairs. Prepare regular reports to update management.

· Address and resolve user inquiries or complaints related to lift services.


6. Air conditioning management

· Schedule and oversee routine maintenance, inspections, and repairs of air conditioning units to prevent breakdowns.

· Monitor and manage the operation of all air conditioning systems.

· Assist in budgeting for maintenance, repairs, and upgrades of air conditioning systems.

· Respond to breakdown issues and coordinate prompt repairs, ensuring minimal disruption to building occupants.

· Maintain accurate records of maintenance activities, service requests, and inventory levels. Prepare regular reports for management.


7. Water Dispenser Management

· Schedule and oversee regular maintenance and servicing of water dispensers, including filter replacements and sanitation.

· Address and resolve any issues or malfunctions with water dispensers, coordinating repairs with technicians as necessary.

· Maintain accurate records of maintenance activities, service requests, and inventory levels. Prepare regular reports for management.


8. Office Cleanliness

· Develop and manage cleaning schedules to ensure all areas are maintained regularly and efficiently.

· Manage cleaning staff and ensure that daily cleaning operations are carried out - for offices, restrooms, break rooms, and common areas.

· To project and procure maintenance items and consumables (e.g. detergent, air fresheners, floor mat, etc) when necessary

· Serve as the point of contact for any cleaning-related inquiries or issues from staff and management.


9. Maintenance of building infrastructure and facade

· Oversee minor renovation works of the building

· Coordinate with contractors and manage repair works. Prepare report for management, when necessary


Requirements

1. NITEC/Diploma/Degree in any field

2. Keen learner, Self-driven, and able to work independently

3. Strong interpersonal skills

4. Excellent communication skills, both oral and written;

5. A positive attitude towards continued learning

6. High level of organization, attention to detail and time management skill


Working Hours

Weekdays 8:30am – 5:30pm

Every Saturday 8:30am – 12:30pm

After probation, alternate Saturday
