Key Responsibilities:
1. General Administrative Support
- Answering phone calls, responding to emails, and managing correspondence.
- Scheduling meetings and organizing calendars.
- Preparing reports, presentations, minutes taker and documentation housekeeping.
- Handling of all worksites work scope document
- Managing renewal service contracts (Deviation of work scope)
2. Operations Coordination
- Consolidate track records of the implementation such as operational policies and procedures etc
- Liaising between departments to facilitate communication and operational efficiency.
- Tracking timelines and deliverables, send reminders to ensure all milestones are met.
- Assisting with customer/worker inquiries, complaints, or feedback.
- Prepare POAD for any upcoming meetings
3. Data Entry and Record Keeping
- Maintaining accurate and up-to-date records, such as WSHO progress report and etc
- Processing and organizing data using software tools (e.g., filing directory).
- Updates operation policies and shared across operation functions
- Assisting and preparing for internal/external audits
- Assisting in overtime data input to Microsoft Excel
- Monitoring WSHO daily report for any abnormal entry
Qualifications:
- Fresh graduates with O-levels and a Diploma in Business Administration, Operations Management, or a related field are welcome.
- Strong strategic thinking and planning skills.
- Excellent communication and customer service skills.
