Job Brief: The job scope of an Operations Administrator typically involves overseeing and coordinating between different functions to ensure alignment and smooth operations.


Key Responsibilities:

1. General Administrative Support

  • Answering phone calls, responding to emails, and managing correspondence.
  • Scheduling meetings and organizing calendars.
  • Preparing reports, presentations, minutes taker and documentation housekeeping.
  • Handling of all worksites work scope document
  • Managing renewal service contracts (Deviation of work scope)

2. Operations Coordination

  • Consolidate track records of the implementation such as operational policies and procedures etc
  • Liaising between departments to facilitate communication and operational efficiency.
  • Tracking timelines and deliverables, send reminders to ensure all milestones are met.
  • Assisting with customer/worker inquiries, complaints, or feedback.
  • Prepare POAD for any upcoming meetings

3. Data Entry and Record Keeping

  • Maintaining accurate and up-to-date records, such as WSHO progress report and etc
  • Processing and organizing data using software tools (e.g., filing directory).
  • Updates operation policies and shared across operation functions
  • Assisting and preparing for internal/external audits
  • Assisting in overtime data input to Microsoft Excel
  • Monitoring WSHO daily report for any abnormal entry


Qualifications:

  • Fresh graduates with O-levels and a Diploma in Business Administration, Operations Management, or a related field are welcome.
  • Strong strategic thinking and planning skills.
  • Excellent communication and customer service skills.
