About the Position: Position Summary: The Office Manager oversees daily operations, ensuring the smooth and efficient functioning of the office. This role supports the firm’s strategic goals by managing administrative functions, HR tasks, and office logistics, serving as a central point of contact for employees and vendors. Additionally, the Office Manager will actively partake in and contribute to business growth initiatives, collaborating with leadership to enhance operational efficiency and support client development efforts.
Key Responsibilities:
- Report directly to the Managing Director on all office management functions, project updates, and operational matters.
- Supervise administrative employees, manage workflows, and ensure operational efficiency.
- Oversee office budgets, expenses, and resource allocation, working closely with the finance team; provide regular budgeting reports and insights to support strategic planning.
- Manage client accounts and provide oversight for client services, ensuring high standards of responsiveness and client satisfaction.
- Support business growth initiatives by identifying operational improvements, streamlining processes, and assisting with client development strategies.
- Handle HR functions, including onboarding, payroll processing, and employee relations.
- Maintain office facilities, manage supplies, and liaise with vendors to ensure the office environment meets operational needs.
- Ensure compliance with legal standards and firm policies, including health and safety regulations.
- Coordinate internal events, firm meetings, and office logistics to foster team collaboration and morale.
- Develop and implement office policies, procedures, and best practices to enhance productivity and employee satisfaction.
Preferred Experience & Skills:
- 3-5 years of experience in office and/or team management, ideally within a legal or professional services environment.
- Strong leadership skills with prior experience in leading and managing a team.
- Excellent organisational, multitasking, and interpersonal skills.
- Proficiency in office software (Microsoft Office, HRIS systems) and familiarity with legal practice management tools is a plus.
- Ability to work independently and collaboratively within a team.
- Previous customer or client-facing experience, with a strong commitment to delivering exceptional client service.
