Job Description: Event Sales Coordinator

Position Overview:
The Wedding Sales Coordinator is responsible for assisting clients in planning and executing private , wedding & corporate events, providing a seamless and memorable experience. This role involves working closely with clients to understand their preferences, coordinating logistics with internal and external vendors, and ensuring the highest level of service. The Sales Coordinator will support the sales and events team in promoting wedding packages, managing client relationships, and overseeing event execution to meet client satisfaction and company standards.


Key Responsibilities:

  1. Sales and Client Relations:Respond promptly to wedding / corporate inquiries and provide comprehensive information on packages, venue options, and services.
    Schedule and conduct venue tours for prospective clients, showcasing spaces and addressing any questions.
    Assist clients in selecting wedding / seminar packages tailored to their preferences and budget.
    Develop and maintain positive relationships with clients throughout the sales and event planning process.
  2. Event Planning and Coordination:Collaborate with clients to finalize event details, including catering, décor, seating, and timeline.
    Coordinate with vendors, such as external caterers, florists, decorators ensuring all services align with client expectations.
    Prepare event layouts and timelines to guide the operations team and ensure smooth event execution.
    Oversee event setup, guest arrival, and tear-down, addressing any issues that arise during the event.
  3. Administrative Support:Maintain accurate records of client communications, contracts, payments, and event details.
    Prepare and process contracts, proposals in a timely manner.
    Assist in tracking sales targets, generating reports, and preparing presentations as needed.
  4. Customer Service Excellence:Act as the primary point of contact for clients, ensuring timely and effective communication.
    Resolve any client concerns or last-minute changes professionally and efficiently.
    Ensure a memorable experience for clients and guests by exceeding service expectations.

Qualifications:

  • Bachelor's degree in Hospitality, Event Management, Sales, or a related field preferred.
  • 1-3 years of experience in wedding or event sales, hospitality, or customer service roles.
  • Strong understanding of wedding /corporate trends, customs, and client preferences.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication, interpersonal, and negotiation skills.
  • Proficiency in Microsoft Office Suite, and CRM systems.

Additional Requirements:

  • Flexibility to work weekends, evenings, and holidays as required by event schedules.
  • Ability to handle high-stress situations with professionalism and poise.
  • Physical ability to oversee event setups and coordinate with vendors on-site
  • Negotiating contracts with vendors and suppliers for high quality service within budget.
  • Establishing and maintaining relationships with vendors and venues
  • Working closely with clients to understand their event requirements and translating these into detailed plans.
  • Planning event details and aspects, including seating, dining and guests
  • Managing events and addressing potential problems that may arise
  • Planning for potential scenarios that could impact the integrity of the event
  • Coordinating all aspects of events, including venue selection, catering, entertainment and attendee registration.
  • Overseeing the smooth set-up and packing-up of an event and making sure it's on schedule.
  • Handling unexpected issues and emergencies that arise before and during events.
  • Conducting post-event evaluations to determine how future events could be improved.
