Job Scope :
You will be working as part of a team of Policy & Public Affairs (PPA) experts to providing operations and administrative support. Your roles and responsibilities will include streamlining team’s communications, keeping track of team’s budget, working with internal systems (e.g., purchases, various approval processes), responding to mails, scheduling meetings, supporting development of documents and presentation materials (including verifying data), amongst other things.

  • Provide the full range of administrative support activities to the team and its lead.
  • Manage high-level, time-sensitive meetings (both internal and external), conference room reservations, teleconference set-up, external individual visit to the site and associated meeting logistics.
  • Manage meeting minutes, meeting follow-ups and expedite flow of work.
  • Manage calendars, travel arrangements/itineraries and expense reports for the PPA APAC Lead (and the team as necessary).
  • Support vendor contracting and management. Draft vendor service agreements, create purchase orders, monitor invoices and facilitate vendor credentialing in line with company policies.
  • Ensure effective and efficient team communications (including managing records and files) by managing communication tools such as Teams. Create and maintain distribution lists, organizational charts and maintain electronic files.
  • Manage timely and accurate tracking of team’s budget and expenses, including generating monthly reports.
  • Work with internal systems (e.g., purchases, various approval processes). For example, manage purchase orders through the system and track invoices.
  • Manage incoming/outgoing mail, including the appropriate handling of sensitive and confidential correspondence.
  • Collaborate with other operations and administrative assistants and Pfizer colleagues to facilitate cross-functional communication and coordination.
  • Work well in self-directed environment, with minimal instruction, assumes increased levels of responsibility and takes accountability for decisions and outcomes.


Job Requirement :

  • Degree holder with preferably 5+ years of experience with relevant experience in project management, operations and technical systems
  • Experience using applications, such as Concur, WebEx and Ariba preferred
  • Proficiency in MS Office, including Word, Excel, PowerPoint, Outlook, and Teams. Experience with Concur, Ariba and other systems and tools preferred.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask. Comfortable working with tight deadlines.
