Job Scope:


  • Deliver comprehensive administrative support to the team and team lead, including managing complex global calendars, scheduling high-priority meetings, coordinating travel arrangements, and handling expense reports.
  • Coordinate logistics for meetings, including scheduling, reserving conference rooms, setting up teleconferences, and organizing external site visits.
  • Facilitate effective team communication by organizing records and files and overseeing communication tools such as Teams.
  • Document meeting minutes, track follow-ups, and ensure efficient workflow.
  • Create and maintain distribution lists, update organizational charts, and manage electronic filing systems.
  • Oversee the team’s budget and expenses, ensuring timely and accurate tracking.
  • Utilize internal systems to manage purchases, approvals, and invoice tracking.
  • Handle incoming and outgoing mail, with careful attention to sensitive or confidential correspondence.
  • Support projects and initiatives as required.
  • Manage personal workflow, prioritize tasks, and pursue professional development.
  • Operate independently with minimal guidance, taking ownership of responsibilities and outcomes.
  • Ensure high-quality work, addressing urgent issues promptly and using sound judgment.
  • Provide backup support in the absence of other administrative staff.


Job Requirements:


  • Diploma or degree in Business Administration, Secretarial Studies, or a related field.
  • 1-4 years of experience in an administrative role, preferably from MNC
  • Proven ability to proactively manage administrative tasks efficiently, ensuring timely and high-quality results.
  • Strong attention to detail, with excellent skills in time management, organization, and prioritization.
  • Proficient in general office practices, including telephone etiquette, customer service, and email communication.
  • Experience coordinating both domestic and international travel arrangements.
  • Effective verbal and written communication skills in English.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
