Key Responsibilities:
1. Exchange Server Administration:
- Manage, maintain, and troubleshoot Microsoft Exchange on-premises servers (2016, 2019, or earlier).
- Monitor and optimize Exchange server performance to ensure high vailability and reliability.
- Perform regular Exchange server backups, disaster recovery tests, and ensure adherence to business continuity plans.
2. Email Security & Gateway Support:
- Configure and manage email gateways (e.g., Proofpoint, Cisco IronPort, Barracuda) to protect against spam, phishing, and malware threats.
- Ensure the security of the email infrastructure by applying necessary security patches, monitoring threats, and responding to security incidents.
- Manage email encryption, email filtering policies, and anti-spam settings.
3. Email Archiving and Journaling:
- Configure and manage email journaling to ensure email compliance and retention policies are in place.
- Ensure that email retention, archiving, and journaling meet regulatory and legal requirements.
- Work closely with compliance teams to audit and manage archived data for investigations and compliance reporting.
4. Exchange Server Upgrades and Migrations:
- Plan and execute upgrades, migrations, and patching for Exchange on-prem environments.
- Coordinate with other IT teams to ensure minimal downtime and seamless upgrades.
- Support hybrid environments where Exchange on-prem is integrated with Exchange Online (Office 365).
5. Monitoring and Reporting:
- Implement and monitor Exchange server health, performance, and usage metrics.
- Develop and maintain automated scripts (e.g., PowerShell) to streamline administrative tasks and generate reports on email usage, delivery, and security incidents.
6. Email Troubleshooting & Support:
- Provide advanced support for email-related issues, including delivery failures, mail flow troubleshooting, and email client issues (Outlook, OWA).
- Handle escalations from the service desk related to Exchange, email security, and email gateway issues.
7. Compliance and Legal Hold Support:
- Manage and enforce email policies related to compliance, data loss prevention (DLP), and legal holds.
- Work with legal and compliance teams to ensure proper email handling and retention in cases of litigation or internal investigation.
8. Documentation and Training:
- Develop and maintain detailed technical documentation, standard operating procedures, and configuration guidelines.
- Provide training and knowledge transfer to IT staff for basic Exchange and email troubleshooting.
Required Skills & Qualifications:
- Experience:
- 5+ years of experience in managing and supporting Microsoft Exchange on-prem environments.
- Strong experience with email security solutions and email gateways (e.g., Proofpoint, Cisco IronPort, Barracuda).
- Practical experience with email journaling, archiving solutions, and managing email retention policies.
- Technical Skills:
- Expert-level knowledge of Microsoft Exchange (2013/2016/2019) on-premises.
- Strong skills in managing email security solutions, spam filters, and email encryption.
- Proficient in PowerShell for managing Exchange environments and automating administrative tasks.
- Familiarity with backup, disaster recovery, and high availability for Exchange.
- Knowledge of Active Directory, DNS, and SMTP mail routing.
Certifications:
Must hold at least one of the following certifications:
- Microsoft Certified: Messaging Administrator Associate
- Microsoft Certified: Security, Compliance, and Identity Fundamentals
- Microsoft Certified: Exchange Server Specialist (if available)
