Job Responsibilities
- Arrange, manage, coordinate and maintain Managing Director’s schedule including internal meetings and external appointments with clients, business associates or partners. Keep track and remind Managing Director of the daily meeting schedule and appointments.
- Attend meetings with clients and internal stakeholders. Take meeting notes.
- Arrange travel arrangements for Managing Director. Plan for business trips, including flights, accommodation and ground transportation
- Maintain and update Managing Director’s contact and email accounts; and confidential files.
- Prepare documents, briefing papers, reports and presentations for the Managing Director.
- Communicate, coordinate, and deliver Managing Director's instructions and work arrangements to all company departments
- Meet and greet visitors meeting the Managing Director or directing them to the appropriate person or department.
- Perform administrative and office support, including internal events.
- Assist with the submission of Managing Director the claims and expenses for reimbursement
- Manage incoming mails and emails.
- Any ad-hoc matters as assigned
Job Requirements
- Diploma or Degree holder
- At least 1-2 years of work experience in a similar role.
- Fluent in English and Mandarin (require to deal with Chinese colleagues and clients)
- Familiar with Microsoft Office, Gmail, Google Drive, One Drive
- Able to work under pressure and on tight deadlines as required.
