Job Descriptions:
- Directly report to the Project Manager and provide regular updates.
- Maintain and update organizational charts, project directories, and weather and manpower records quarterly, for monthly project report submissions.
- Handle incoming calls, raise purchase orders for office supplies, manage site office equipment, and liaise with the HR department when needed.
- Oversee workers' monthly salary, supplier payments, petty cash, site passes, induction records, and assist in preparing correspondence for consultants, clients, and subcontractors.
- Ensure the systematic filing of delivery orders and documentation for annual site and government audits.
- Manage staff timesheets, leave applications, OT approvals, and the onboarding of new staff.
- Circulate site correspondence to staff for timely endorsement and filing in compliance with ISO standards.
- Process workers' salaries, ensuring accuracy and on-time submission to HQ, and handle updates to workers' addresses and work permits.
- Assist with arranging workers' dormitories and transportation.
- Manage hardware material orders and maintain proper records.
- Resolve conflicts, feedback, and complaints related to the project.
- Coordinate with internal and external parties, including clients, residents, and government bodies, for project-related issues.
- Prepare circulars, letters, notices, and work progress updates.
- Attend meetings or dialogue sessions as required.
- Seek management approval for action plans related to project matters.
- Organize and coordinate staff and workers' courses.
- Maintain proper documentation and provide general administrative support to the project team.
- Perform other duties as assigned.
