Job Purpose
To carry out all administrative and reception duties of Boys' Town.
Responsibilities
- To support reception duties, visitors’ management and coordinate and sorting of all incoming mail.
- To answer calls from the public and provide accurate, satisfactory answers to their queries and concerns.
- To handle end-to-end administrative matters.
- Ensure proper filing, documentation and data entry as directed.
- To send/collect letters and other documents to the Post Office daily.
- Sort and distribute incoming mail.
- Other ad-hoc duties as assigned (e.g. banking, collection/dispatch of documents etc.).
- To apply administrative policies, processes, and practices (Corporate governance).
- To manage office inventory, track and monitor office inventory to ensure office functionality using Odoo Inventory Management System.
- Submit admin-related invoices in the AG system and expense tracking.
- To support and maintain contract e-filing system.T
- To execute new projects for the Admin department.
- To participate in Task Forces and/or committees assigned by the Manager of Finance & Admin and/or Assistant Director of Corporate Services, when necessary.
- To assist in events planning (eg Board meetings, company events etc)
- To ensure/ support/ monitor the relevant SOPs and/ or participate in the internal or external audit requirement or MSF case management/ audit process.
- To monitor, update and track Admin expenses and provide regular updates to Manager of Finance & Admin and/or Assistant Director of Corporate Services.
- To monitor and track the budget allocated.
- Any other duties assigned.
Job Requirements
- Minimum O Level or Diploma
- At least 2 years of relevant working experience.
- Good in record keeping (filing/documentation etc.).
- Proficient in Microsoft Outlook, Excel, Word, PowerPoint.
- Good interpersonal and communication skills.
