The primary responsibility of this role is to manage both tenant relations and event space operations effectively, ensuring a seamless experience for tenants and event clients. The ideal candidate will serve as a point of contact for addressing tenants’ concerns, lease administration, and event space coordination.


Leasing/Tenant Management Responsibilities:

  • Tenant Communication: Serve as the primary point of contact for tenants, to address concerns, maintenance requests, and provide timely updates. Foster positive relationships with tenants to enhance retention.
  • Lease Administration: Prepare, review, and execute lease agreements, ensuring compliance with company policies, local regulations, and legal requirements.
  • Lease Renewals: Manage the lease renewal process, including communicating with tenants, coordinating renewals, and ensuring that all paperwork is completed accurately and on time.
  • Lease Record Keeping: Maintain detailed, accurate records of all active leases, including documentation related to tenant agreements, terms, rent schedules, and other important details.
  • Financial Coordination: Work closely with Finance to ensure the accuracy of rent payments, deposits, and any other financial obligations outlined in lease agreements.
  • Tenant Onboarding: Oversee tenant onboarding processes, including conducting move-in orientations and ensuring all lease agreements and necessary documentation are in place.
  • Policy Communication: Ensure tenants are informed about property policies, procedures, and any relevant updates. Respond to enquiries regarding building rules and operational guidelines.
  • Issue Resolution: Coordinate with maintenance and operations teams to address tenant issues such as repairs or complaints.
  • Tenant Satisfaction: Conduct regular tenant surveys and feedback sessions to identify areas for improvement.


Event Space Coordination Responsibilities:

  • Event Enquiries: Act as the point of contact for potential hirers seeking to book event spaces, addressing all enquiries in a professional and timely manner.
  • Event Space Guidance: Provide detailed information on the usage of event spaces, including terms and conditions, ensuring the hirer understands the proper use and booking procedures.
  • Venue Handover/Takeover: Be present for the handover and takeover of event spaces to ensure proper setup, adherence to policies, and client satisfaction.
  • Booking Management: Administer the standard operating procedure (SOP) for the event spaces, ensuring the efficient use of resources and preventing double-booking. Oversee the electronic booking system for event spaces and shared meeting rooms.
  • Event Support: Assist with the coordination of logistics and any special requests related to the event spaces, ensuring seamless execution of events from start to finish.


Requirements:

  • Minimum Diploma in Estate Management, Events Management, Marketing or equivalent.
  • 3 - 5 years of related experience in real estate/event space coordination or similar capacity.
  • Possess excellent interpersonal with good command of spoken and written English.
  • Ability to multi-task effectively and work in a fast-paced environment independently.
  • Possess positive work attitude, drive and resilience to meet job challenges.
  • Experience in M&E knowledge will be an added advantage.
