Administration Executive, Technology Business Development (TB), (A*SRL)

A*STAR Skin Research Labs (A*SRL)/Skin Research Institute of Singapore (SRIS) is looking for a Administration Executive to support the business development operations, working closely with the Technology Business Development (TB) Director and the TB team, researchers, SRIS partners and internal groups within the organisation.

The key role and responsibilities include:

  • Assist the Technology Business Development (TB) Operations Manager in developing, maintaining, and overseeing the policies and procedures governing industry engagements in A*SRL/SRIS
  • Support the TB Director to improve the general administration of TB through close coordination and collaboration with other internal stakeholders
  • Tracking and managing legal agreements and maintaining legal agreement database (e.g. CRM tracking)
  • Liaising with project managers to ensure contract terms are followed
  • Facilitating the negotiation and execution of legal agreements, e.g. filling in templates, checking grammar mistakes and page numbers, cleaning up drafts, summarizing contracts, liaising with collaborators for Non-Disclosure Agreements, Research Collaborative Agreements and coordinating with all parties for signatures
  • Act as a check point for compliance requirements by sighting compliance related approval documentation where necessary
  • Provide secretariat support for all TB and contracts negotiation meetings
  • Ensure key stakeholders involved in agreements are reminded of the need for completeness when filling up standard forms and agreement templates
  • Ensuring prudent use of resources
  • Assist in maintaining the KPI database and provide accurate information for reports to internal and external stakeholders
  • Assists in developing materials for TB engagement activities
  • Provide support to facilitate the training and guiding of scientific staff using standard templates, e.g. how to fill up standard forms and agreement templates for compliance and contract negotiation respectively
  • Any related duties as determined by the TB Director

Requirements:

  • Bachelor’s degree in legal/research/science/technology management, or related fields with a keen interest in research and business development administration
  • At least 3 - 5 years of relevant experience
  • Must possess a flair for writing and good writing skills to handle minutes and draft presentation slides
  • Meticulous, resourceful and uses sound judgment and demonstrates initiative in carrying out assigned duties, with good organisational skills to create / maintain detailed records
  • Detailed-oriented and IT-savvy to navigate through databases and software applications
  • Proficient in Microsoft Office – word, excel and PowerPoint
  • Able to complete quality work within deadlines
  • Excellent organizational, communication (both verbal and written) and interpersonal skills, any previous experience with reviewing and managing contracts is an advantage
  • Able to work independently and as a team in a fast-paced environment
  • Positive learning attitude with pleasant personality
