We are seeking a detail-oriented and proactive Project Admin to join our Business Operations Centre. The ideal candidate will play a crucial role in ensuring service excellence, managing project operations, and driving performance improvements. This position requires collaboration across multiple departments, supporting project and maintenance activities, procurement processes, and administrative tasks.

Key Responsibilities

1. Business Operations & Service Excellence

  • Serve as a core member of the Business Operations Centre to ensure service excellence and quality.
  • Maintain accurate project billability, cost, and revenue forecasts.
  • Drive continuous improvement through process development and innovation.

2. Job Management

  • Create sub-project codes to track resources and costs.
  • Raise Inter Project Cost Recovery (IPCR) requests in APEX (formerly SAP) for internal projects.
  • Set up billing plans and raise Sales Invoice Requisitions (SIR) in the IPMS system.
  • Provide weekly updates on work-in-progress projects.

3. Maintenance Support

  • Track customer contracts and third-party vendor maintenance contract/license renewals.

4. Procurement Management

  • Raise Purchase Requests in APEX and obtain necessary approvals.
  • Ensure adherence to corporate procurement policies and coordinate with vendors.

5. Line Administration

  • Support staff onboarding and offboarding processes.
  • Collaborate with HR to track staff certifications and training requirements.
  • Organize team bonding events.

6. SharePoint Management

  • Manage SharePoint workspace for enterprise content and document management, team collaboration, and custom web applications.

Requirements

  • Education: Degree in Business Administration, Information Technology, or a related field.
  • Experience: Minimum of 2-5 years of relevant experience in a similar role.
  • Technical Skills:Proficiency in Microsoft Office, especially Excel and PowerPoint.
    Knowledge of SharePoint tools, including ULS Logs, workflows, and forms.
    Familiarity with SAP and project management systems is preferred.
    Basic knowledge of Windows operating systems, SQL Server, Power BI, PowerShell, and Office 365.
  • Soft Skills:Strong communication and listening skills.
    Demonstrated problem-solving abilities and attention to detail.
    Organizational skills, with the ability to prioritize and manage multiple tasks to meet SLAs.
    Proven leadership, interpersonal, and conflict-resolution skills.
    Ability to collaborate with and influence internal and external stakeholders effectively.
