Role:
- Identify, evaluate, and select vendors for materials, equipment, products, or services, and handle comprehensive supplier management.
- Manage and process purchase requisitions and orders.
- Obtain quotes for stores, spares, and services based on RFQs from vessels, vessel managers, and operations teams.
- Ensure all purchasing activities adhere to the organization’s purchasing policies and procedures.
- Establish framework agreements with suppliers and prioritize procurement under these agreements when feasible. Negotiate with suppliers to secure optimal results for the company.
- Clarify specifications with vessels to ensure accurate quotes, especially when information or details provided are incomplete or incorrect.
- Develop and implement standardized procedures for tracking purchasing costs, logistics, and shipping processes.
- Conduct regular vendor appraisals and price comparisons.
- Arrange servicing and services to meet Class requirements, including annual inspections and other related services.
- Ensure thorough cost-benefit evaluations are conducted before making any recommendations.
- Supervise the entire purchasing documentation process and submit quarterly cost reports.
- Oversee invoice matching with POs and DOs, ensuring correct input of account codes and timely approval.
- Ensure invoices are reviewed, approved by the relevant personnel, and submitted to the accounts department promptly.
- Communicate with clients to obtain approvals, monitor requisition statuses, and track progress.
- Coordinate freight arrangements for vessels, ensuring timely delivery of spares and stores with regular follow-ups.
- Provide suggestions and feedback to improve task execution and working instructions.
- Perform ad-hoc duties and responsibilities as required.
Requirements:
- Minimum 3 to 5 years of purchasing experience in Offshore/Ocean-going vessels.
- Strong understanding of purchasing regulations and industry guidelines.
- Experience in managing logistics for purchased items, including delivery and supply chain requirements for spares and stores.
- Solid knowledge of purchasing systems and industry regulations.
- Ability to collaborate effectively with relevant teams and stakeholders.
- Strong communication skills for timely and efficient exchanges.
- Understanding the urgency of purchasing functions and the importance of delivering spares and stores to vessels.
