Fund Administration Executive

Key Responsibilities:


Portfolio Administration:

  • Assist in maintaining accurate portfolio records, including daily reconciliation of investment positions.
  • Support the processing of portfolio transactions, including trade settlements, corporate actions, and cash management.
  • Ensure accurate and timely data entry into portfolio management systems.
  • Assist in preparing portfolio reports and performance analytics for internal and client reporting.

Operations Support:

  • Support daily operational processes, including fund accounting, reconciliation of cash flows, and liaising with custodians and third-party service providers.
  • Monitor and resolve discrepancies in portfolio records, trades, and reconciliations.
  • Assist in the preparation of regulatory filings and compliance reporting.
  • Collaborate with the senior operations team to streamline processes and enhance operational efficiency.

Client Reporting and Communication:

  • Prepare periodic investment reports for clients, including performance, cash flow, and portfolio position updates. These could be in the Spanish language.
  • Respond to client inquiries related to operations, trades, and portfolio information, specifically those based in Europe and only conversant in Spanish.
  • Assist in maintaining client files and ensuring compliance with client agreements.

Compliance and Risk Management

  • Support the monitoring of adherence to regulatory requirements and internal policies.
  • Assist with risk management processes, including the maintenance of operational controls and compliance audits.
  • Provide data for internal and external audits as needed.


Requirements


- 2-3 years relevant experience in a hedge fund, asset management firm or fund administrator. Fresh graduates with relevant internship experience will also be considered.

- Relevant qualifications in accounting, finance, statistics, and or business

- Excellent analytical skills

- Detail-oriented, organized and meticulous with strong work ethics and professional habits

- Ability to communicate natively in the Spanish language

- Self-starter / Self-learner, works well in a small team and good team player

- MS Office skills (especially Excel)
