We have immediate vacancy for Administrative Officer to provide essential administrative and operational support to ensure the smooth functioning of the business. This role will coordinate activities of internal departments, manage day-to-day office tasks, and contribute to the overall efficiency of the company. This position will report directly to the Managing Director of the company.
Key Responsibilities:
- Provide general administrative assistance, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Maintain organized filing systems for digital and physical records.
- Act as a liaison between departments, clients, and vendors. Handle communication on behalf of management when required.
- Ensure the office operates smoothly by managing supplies, equipment maintenance, and office-wide communication.
- Assist with bi-weekly COE bidding.
- Monitor and ensure the timely renewal of company property licenses and staff insurance.
- Assist with building maintenance and facilities management.
- Assist in planning and organizing company events, meetings, or other internal activities.
- Ensure cleanliness and tidiness of the office, reception, and pantry areas.
- Assist with staff onboarding and offboarding processes.
- Communicate with government authorities like JTC, BCA, etc.
- Review and check all quotations and sales/purchase agreements before submitting them to the MD for approval.
- Welcome VIPs and guests, providing beverages if needed.
- Provide support for projects and assignments as required by Management.
Requirements:
- Diploma in any discipline.
- Previous experience in a similar role is preferred.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Excellent communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information.
- High level of professionalism and attention to detail.

- Location: Toa Payoh, Singapore
- Working Hours: 5-day work week, 9:00 AM to 6:00 PM
