Work Dynamics - Integrated Facilities Management
Service Delivery
- Deliver high quality, prompt and courteous Facility Management services in support of Client’s business needs in a safe working environment
- Liaise regularly with client and client tenants to discuss and report on Facility Management issues
- Manage and report detailed facilities cost accounting data; Provide timely and accurate budget reports
- Prepare and manage capital forecast for equipment maintenance and replacement
- Oversee 3rd party service delivery to meet the requirements of the agreed scope of works
- Process customer space requests and supervise implementation of strategy including Churn works
- Manage service delivery to meet and exceed Key Performance Indicators (KPI) as agreed with the client; Maintain KPI reporting and metrics
- Conduct Customer communication and feedback surveys
- Perform Duty Personnel facilities support role as scheduled
Critical Management
- Support Client safety teams to develop guidelines and strategies to protect health and safety of staff and others, reputation and ensure business continuity with regards to property operations
- Liaise with client representatives to manage the Business continuity
- Coordination of Risk Management systems. This will include:
Legal
Health, Safety and Security Management
Fire Safety and essential services
Emergency Evacuation - Others as may be needed from time to time
Occupant and Contractor Services
- Assist in the co-ordination of make goods, fit-outs, capital expenditure works, churn management, service providers and service provision
- Purchase building goods and services subject to Client Purchasing requirements/ contracts and goals for cost reduction
- Ensure relevant consultant sign-offs are obtained for each Project
- Manage provision of all services to be of high standard, cost effective, and to achieve targeted savings
- Create and maintain a customer-focused team environment that supports the vision of Client Singapore
- Proactively solve problems as they arise
- Encourage and support individuals to achieve their full potential
- Proactively seek to improve the systems and processes of all operations in response to changes in the marketplace
- Negotiate and manage Service Level Agreements
Principal Tasks
- Manage the day to day operations of the Office
- Work with the team to ensure tenancy expectations are met
- Manage billing and recovery of costs from appropriate Client cost-centers, including all Budgetary requirements
- Manage 3rd party / subcontractor performance
- Manage all supplier relationships
- Implement energy management process/es
- Liaise with relevant Government Authorities as required
- Prepare and submit comprehensive monthly management reports on Facility management activities
- Answer management enquiries
- Build effective working relationships with all staff
- Ensure all staff are effectively trained on all facilities policies and procedures
