Job Summary
The Office Administrator will play a key role in supporting daily office operations, ensuring the office environment is efficient, organized, and welcoming. The role involves managing administrative tasks, coordinating office activities, maintaining office supplies, and assisting with communications. The ideal candidate will be proactive, organized, and have excellent communication skills.
Key Responsibilities
- Office Coordination:Oversee daily office operations and coordinate with various departments to ensure smooth workflow.
Manage office schedules, meeting rooms, and event arrangements.
Maintain a clean, organized, and functional office environment.
- Administrative Support:Answer and direct phone calls, emails, and other inquiries.
Manage office mail, including incoming and outgoing correspondence.
Assist with document preparation, data entry, and filing.
- Inventory and Supplies:Track and order office supplies and equipment, managing inventory levels.
Coordinate with vendors and suppliers, ensuring timely delivery and maintenance of office equipment.
- Record Keeping:Maintain accurate records of office expenses, staff attendance, and other essential documents.
Prepare and update reports as required by management.
- Compliance and Safety:Ensure the office complies with health and safety regulations.
Coordinate safety drills, update emergency plans, and maintain first-aid supplies.
Qualifications
- Experience: more than 2+ years in an administrative or office management role.
Familiarity with office software (e.g., Microsoft Office Suite, Google Workspace).
- Skills:Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Attention to detail and problem-solving skills.
Ability to work independently and within a team.
Additional Information
- Working Hours: Monday to Friday, 9 AM - 6 PM
