The HR Assistant / HR Executive under the workpass and operations team will play an active role in handling foreign work pass application for candidates under the organisation such as the submission, renewal or cancellation of workpass. In addition, he/she will also support other ad-hoc HR operational duties relating to employee engagement events, onboarding and other ad-hoc duties.
RESPONSIBILITIES
Foreign Work Pass Application
- Submission of work pass applications for candidates including supplementary passes and Letter of Consent/Certification
- Renewal of work pass/permit applications for candidates
- Cancellation of work pass/permit applications, supplementary passes and Letter Of Consent/Certification applications for candidates
- Issuance of work and supplementary passes online
- Preparation of appeal letters, other request letters with the MOM for candidates
- Preparation of MOM Monthly Giro report for submission to Finance
- Preparation of Active work pass headcount list for submission to Finance monthly
- Preparation of levy bill and levy adjustment for submission to Finance monthly
- Preparation of renewal list monthly and liaise with business leads on follow up actions
- ·Keep track of MOM card return list and send out to Ops team weekly
- Preparation of residency forms
Onboarding Briefing for New Hires
- Prepare new hire welcome pack
- Conduct briefing on new hires’ first day
- Assist with work pass issuance for foreign new hires
Other HR Administration & Events Management
- Assist in the planning and roll-out of employee engagement events (including set up of office decoration)
- Taking minutes during meetings, liaising with vendors on the event arrangement
- Coordinate with respective business units on participation headcount for events
- Prepare event messages for dissemination during company-wide events
REQUIREMENTS
- Min Diploma in Business/ Human Resource Management
- 1 - 2 years of HR related experience (Preferably in the recruitment industry)
- Able to multi-task and work within tight deadlines
- Excellent communication skills in English
- Strong interpersonal skills and able to interact with staff at all levels
- High degree of initiative and integrity
- Able to work independently with minimum supervision
- Good coordination & follow up skills
- Good planning and prioritization skills
- Ability to negotiate and solve problems to manage tough situations
- Proficient in MS Word, Excel & PowerPoint
