This role will be part of Facilities Services team and will play a central role in the daily operations of the client's office in Singapore, ensuring smooth, effective management and maintenance of the workplace as follows:
- Greet clients and visitors, managing visitor pass arrangements.
- Handle and organize incoming mail and coordinate local and international courier services.
- Support administrative tasks related to onboarding and offboarding of employees.
- Deliver friendly and professional service to employees and guests, addressing inquiries and requests as they arise.
- Facilitate the setup of meetings or events, coordinating arrangements as needed.
- Maintain a clean and organized reception area to uphold a professional environment.
- Keep accurate documentation and records, ensuring accessibility and organization within databases and files.
- Assist the Business Support Supervisor with tasks such as locker management and end-of-trip facilities applications when necessary.
- Oversee general tidiness of the office, ensuring day-to-day operations run smoothly
- Coordinate with building management for maintenance issues (e.g., light replacements, restroom cleanliness).
- Support seamless daily office functions.
- Perform additional duties as needed
Requirements:
- Diploma or Bachelor's Degree
- 1-2 years of experience in Customer Service, Administrative, Receptionist role or hospitality
- Articulate and comfortable communicating with internal and external teams .
- Open to physical work such as setting up meeting rooms, moving of tables and chairs, carrying out responsibilities when there’s events in the office.
- Events & facilities exposure will be a plus
- Fire Drill experience is good to have
- Excellent customer service orientation
- Familiarity with IT systems is an advantage
Additional Information:
- Open to contract for 12 months
- Reporting hours: 8:30 PM to 6PM (Mon to Fri - 5 days per week)
