We are seeking a detail-oriented and proactive Administrative Officer to support in managing meeting schedules, general office admin support and purchases, and logistics support for related events. The candidate will possess strong planning and organizational skills, with a strong attention to detail, and has the ability to work in a fast-paced environment.
Job Description:
General Administrative Support:
- Meeting Coordination:
Schedule and organize meetings for executives, prepare agendas and meeting materials. Ensure all logistical details are managed, including room bookings, catering, and tech requirements
- Document Management:
Establish, organize, and maintain a centralized repository for all management papers, contract and project-related documents. Ensuring that these documents are readily accessible to all stakeholders and management will be a key focus of your role.
- File Organization:
Systematically categorize and archive relevant management and project files, enabling efficient retrieval and reference. Your organizational skills will help support seamless workflow and communication across teams.
- Meeting Coordination:
Arrange both internal and external meetings with precision. This includes handling scheduling, sending invitations, and managing logistical arrangements to ensure all participants can contribute effectively.
- General office purchases
Support logistics and meal arrangements for meetings and events. Other administrative tasks as needed.
Minimum Requirements
- Minimum of 3 years in administrative roles.
- ‘O’ or ‘A’ level holder.
- Exceptional organizational and time management skills to keep department activities on track for stakeholders.
- Proficient in Microsoft Suite minimally in Word, Excel, and PowerPoint.
