RESPONSIBILITIES
- Student Card
- Manage the student photo system, including photo review and approval for all incoming undergraduate, postgraduate, non-graduating e.g. exchange students and guest students;
- Student replacement card system for lost and damaged cards;
- Outsourcing of card printing for new and replacement cards including arranging for encoding of student cards;
- Issuance of student cards for new intake of students including the online event management system to manage appointment for the student card collection.
- Certification letters / Academic Summary
- Manage the student request system.
- Prepare certified documents (self-service download for softcopy or over-the-counter collection for hardcopy).
- Liaise with the Student Services Hub on the issuance of hardcopy documents.
- Official Transcript / Replacement Degree Certificate
- Prepare official transcript for undergraduate, postgraduate and non-graduating students (e.g. exchange students).
- Manage replacement of degree certificates and additional official transcript requests.
- Fixed Asset Management
- Check and account for assets periodically.
- Ensure all assets are tagged.
- Manage pool of assets for department use.
- NSMen deferment
- Liaise with Mindef / SPF / SCDF on ICT deferment for NSmen
- Assist in general administration for the department including management of purchase orders and office supplies.
- Attend to students' enquiries and requests (email, telephone, walk-in).
- In-charge of office administration such as managing purchase orders and replenishing office supplies.
- Covering officer for 5 to 8 areas during absence of other colleagues in the unit.
- Help in other registrar functions such as matriculation, commencement, examination invigilation, etc.
- A degree holder in a business or related field with at least 1 to 2 years of relevant work experience, preferably in a tertiary institution environment.
- Diploma holders with at least 7 to 8 years of relevant work experience are welcome to apply.
- Experience in frontline service in a university setting would be an advantage.
- Organized and meticulous.
- Able to communicate well, verbally and in writing.
- Committed to providing high quality customer service.
- Ability to work effectively independently and in a team.
