Job Summary: This is a 6-month maternity coverage contract. The executive officer will assist in the coordination and execution of estate maintenance activities. This position requires collaboration with internal and external parties to ensure the smooth operation and upkeep of the estate.
Key Responsibilities
- Support and Coordination: Assist in coordinating the activities of Maintenance Support Officers (MSOs) and cleaning staff to ensure compliance with estate maintenance standards.
- Renovation Support: Aid in the planning and oversight of renovation or upgrading works to enhance the functionality and aesthetics of the Homes.
- Payment Assistance: Assist in managing payment processes for estate maintenance activities
- Procurement Support: Support the tendering process for estate purchases and maintenance contracts
- Record Keeping: Help update and maintain records of maintenance activities and vendor interactions on maintenance management systems.
- Maintenance Requests: Assist in handling and escalating maintenance requests
- Property Inspections: Support property inspections with internal and external parties and help maintain photographic records.
- Vendor Coordination: Assist in coordinating with vendors for the creation and installation of printworks and manage related logistics.
- Asset Management: Help keep accurate records of all fixed assets
- Ad-hoc Duties: Perform additional responsibilities as assigned by Reporting Officers and Management to support organizational needs.
Requirements
- Minimum Diploma or equivalent qualification in facilities management, property management, or a related field.
- Prior experience in estate maintenance, facilities management, or a related role is preferred but not mandatory.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and time management skills, capable of handling multiple tasks efficiently.
- Excellent communication and interpersonal skills, able to interact effectively with diverse stakeholders.
- Detail-oriented with a focus on accuracy in inventory tracking and administrative tasks.
