Coordination Manager

Job Responsibilities :


  • Develops and maintains a detailed project schedule which includes administrative tasks and all sites AND other non GATES PCM contractors involved in the project.
  • Participation in Project Team Meetings.
  • Coordinate meetings, including travel arrangements and expense reports.
  • Maintain Project Co-ordination Calendars.
  • Sites include all work sites, survey locations including TSA and logistics dispatch and receiving locations, and facilities.
  • Ensure coordination of the interfaces of Project with SMRT combined programme of works, Outside Contractors, Material suppliers and In house Operations.
  • Prepare and/or edit meeting minutes, presentations and tables.
  • Also included is the in depth liaison with all contractors to collate, disseminate and identify opportunities for betterment of the project programme and logistics.
  • Plan and monitor co-ordination and logistics to ensure as a minimum adherence to deadlines.
  • File all project documents (hard and soft copies)
  • Ensure coordination of the project activities against the Client overall programme of works.
  • The detailed schedule will include all project phases and dependencies including at least preliminary logistics, plant and material review and acquisition, design review, material procurement, installation, testing , and site and system acceptance.
  • Responsible to identify, record and track project changes and produce updated site based schedules as agreed with project management.
  • Compile summary documents, e.g. Project Delivery Plan, management Summary and Target dates and deliverables. Collect and collate contributions of the project Team
  • Responsible to take input from the co-ordination meetings to develop and maintain the detailed schedule and report on effect of any changes
  • Gathers all project information: schedules, data requests, assignments, tasks, and project meetings.
  • Works with project team to understand and assist with tracking all work, task and project assignments.
  • Working with Project Manager, assist in developing a comprehensive workflow/ resource process for project.
  • Maintain good communication with project work teams and outside contractors to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process at each job site/ activity.
  • Monitor and modify project schedule as assigned.
  • Maintain document control, database management, track project activities and team performance.
  • Assists project team and team lead in strategic meetings and follow up with meeting notes.
  • Schedule project follow up meetings as needed.
  • Develops and publishes communications to project internal stakeholders
  • Develops and review project status and reports.
  • Process daily, weekly and monthly reporting to ensure all schedules run smoothly, all jobs are completed as prescribed, and all reports and records are processed in a timely fashion.
  • Process project schedules and reports to ensure we are exceeding all appropriate client needs and expectations.
  • Plan, arrange and monitor all access arrangements and works through to fulfilment.
  • Work with PM to arrange and organise contractors, permits, and other special arrangements as needed.
  • Work with PM to maintain programme, scope, materials, and other job templates.
  • Manage outside contractors for specific sites and project requirements (LEW 8). This includes planning, assigning work orders, sending scope and monitoring performance to assure successful completion and proper billing.

Requirements :

  • Bachelor’s degree in Civil Engineer or equivalent in engineering field
    Knowledge in Microsoft Project/ Primavera a must
  • At least 5-8 years of experience in a similar role and/or projects-related role
    Able to lead a team and motivate team members.
  • Relevant experience in the successful co-ordination of major programmes of work in the rail industries.
  • Strong negotiation skills.
  • Knowledge of the principles of project processes and procedures.
  • Knowledge of the principles of Health & Safety legislation, environmental and best practice.
  • Construction design management competence
  • Project safety management experience• Customer service skills an asset
