The legal secretary will be required to interact directly with the firm's Clients. Therefore, the legal secretary must be presentable and confident in communicating directly when client facing. Fluency in Korean, both written and oral, including translation, is an essential requirement for this role. Candidates without legal experience but with more than 2 years of marketing/account management experience, possess strong communication and organisational skills, adept at project management as well as time management are welcome to apply.
Essential duties
- Performing legal secretarial/administrative activities that may be highly confidential or sensitive, requiring diplomacy and discretion;
- Creating, editing, and proofreading letters, legal documents and memos, including checking documents for content and context;
- Assisting lawyers with transaction management including preparing and running checklists relating to financing transactions and managing datarooms;
- Opening files and conducting conflict checks;
- Creating physical and soft transaction bibles after the closing of transactions;
- Taking notes at physical and virtual meetings;
- Organising and maintaining all correspondence and documents using the relevant document management system;
- Managing emails, calendar appointments and client contact lists;
- Providing business development support when necessary;
- Coordinating and preparing monthly client bills;
- Coordinating, verifying, and obtaining appropriate approvals for all domestic and international travel arrangements with the firm’s travel provider and processing related business expense reimbursements;
- Preparing check requests and expense reports
Requirements:
- Significant experience in a similar role within a medium to large law or professional services firm working for senior lawyers and partners preferred;
- Very proficient in both spoken and written English and Korean;
- Excellent client service skills;
- Excellent working knowledge of Microsoft 365 (Word, Outlook, Excel, and PowerPoint) and PDF editor; proficiency and experience with legal management systems are advantageous but not essential as training will be provided.
- Typing speed of 65 wpm or above;
- Excellent attention to detail, including using correct spelling and grammar;
- Can-do attitude and flexible approach;
- Work autonomously with limited guidance;
- Working overtime as occasionally required;
- Meet deadlines;
- Use own judgment in decision making to solve problems and achieve business outcomes;
- Take the initiative in handling projects and anticipating what needs to be done;
