About the School:

We are seeking a detail-oriented, responsible, organized Administrative Assistant with a strong service mindset to support our daily operations. The ideal candidate will have strong communication and organizational skills, as well as a commitment to maintaining a high level of efficiency in an educational setting. This role supports student and staff needs, coordinates with various departments, and ensures smooth day-to-day administration.


Key Responsibilities:

- General Administration:

  • Maintain accurate student records and update as needed, including but not limited to p-file, attendance, leave, conduct, fee payment, contract generation, etc.
  • Prepare reports, track accurate data, and maintain filing systems in accordance with Edutrust requirements.
  • Handle front desk duties and direct inquiries to the appropriate departments.

- Records Management:

  • Prepare, format, and distribute internal communications, newsletters, and notices to students, parents and staff.
  • Enter data for various reports and assist with compiling information for internal use or submission to external regulatory bodies in accordance with Edutrust requirements.

- School Asset Management:

  • Monitor and order office and classroom supplies, and ensure the timely delivery of materials and resources.
  • Maintain the safety of school premises and assets.

- Student Services:

  • Be the first point of contact for student and parents, conducting pre-course counselling, orientation, classroom patrols, resolving complaints and maintaining order at school.
  • Organizing school events, meetings, and morning assemblies; handle logistics, invitations, and follow-ups for school events.
  • Maintaining order and discipline at school.

Qualifications:

  1. Diploma in Business Administration, Office Management or a related field
  2. Proven experience in an administrative role, preferably within an educational setting
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic knowledge of data management systems
  4. Excellent verbal and written communication skills
  5. Strong organizational and multitasking skills
  6. Familiarity with Edutrust requirements

  2. Excellent verbal/written communication, presentation, interpersonal skills
  3. Highly responsible, dependable team player
  4. Highly meticulous and detail-oriented
  5. Familiarity with school information systems or student management software
