Job Responsibilities
Reporting to the Deputy Director, Operations, Planning & System, the candidate will be responsible for the business system of the Patent Search Examination & Analytics (SEA) Unit.
You will:-
- Ensure critical operational system is aligned with business needs to ensure business continuity and operational efficiency of internal and contracted processes.
- Plan and drive IT system upgrades through regular maintenance and system renewal.
- Provide solutions to address process and system issues when they arise.
- Analyse existing systems, business needs and users feedback, identify bottlenecks and implement system changes to improve system performance, user experience and optimise processes.
- Evaluate system data policy and implement system archival process.
- Ensure optimal utilisation of resources and be the go-to person on how data and technology can be used for enhanced performance tracking and transformed processes with automation.
- Review whether internal controls are sufficient and effective to mitigate risks. Lead system studies and innovation projects for adopting emerging technologies for efficiency gains using automation and AI and improving user experience for various functions within unit.
- Support Deputy Director in unit’s planning for budget, capacity projection and performance metrics.
- Undertake ad hoc unit projects assigned.
Are you the one? Please write to us if you have/are:
- A degree, preferably in systems engineering or computing, with 5 to 8 years of relevant working experience, preferably in system project and dashboard development. Background in patents, experience in data analysis, SQL and knowledge in VBA/Python, basic coding/programming knowledge is a plus.
- Organised, customer-oriented, meticulous, proactive, able to multi-task and meet tight deadlines.
- Analytical, resourceful, able to work independently and in a team involving multiple groups of users and technical teams.
- Able to drive system-related process improvements using evidence-based/data-driven approach.
- Proven track record of successfully launching new system including change management.
- Experience in agile, design thinking and user experience improvements.
- Excellent communication and collaboration skills.
- Proficient with Microsoft Office applications and in particular Microsoft Excel and PowerPoint.
