Receptionist cum Administrative Assistant (Permanent)

Working Hours:

7:00 am to 4:30 pm or 7:30 am to 5:00 pm or 8:00 am to 5:30 pm

Packages:

  • Salary Range: $2,000 to $3,500, depending on experience
  • Annual Leave: 12 days per year

Responsibilities:

  • Perform front desk duties by professionally attending to the needs of walk-in customers, including parents, visitors, partners, teachers, staff, and students.
  • Assist students according to school guidelines, such as issuing graduation certificates and other documents.
  • Accept goods on behalf of staff and coordinate with them to confirm receipt.
  • Handle incoming calls professionally, ensuring they are answered within three rings, and manage call-related tasks such as recording messages and directing calls.
  • Issue stationery and loan items, providing guidance on the appropriate forms to use.
  • Notify the General Office when stationery and first aid supplies in the Sick Bay require replenishment.
  • Administer basic first aid to injured or ill students in the Sick Bay and issue excuse chits for those needing to leave school early.
  • Manage lost and found items, ensuring they are promptly recorded, labelled, and organised.
  • Handle administrative duties such as data entry and verifying the completeness of submitted forms and documents, including MOE FAS application forms and leave application forms.
  • Manage latecomers by updating their details in the Google form, issuing latecomer slips, updating daily attendance records, and notifying the Office Manager about students issued with Corrective Work Orders.
  • Schedule parents' appointments with key personnel during Parents-Teachers Meetings.
  • Support the Discipline Master in safeguarding Ezlink cards and mobile phones for latecomers or students.
  • Provide administrative assistance for fundraising events and maintain orderliness and cleanliness at the reception counter.
  • Undertake ad hoc duties and projects assigned by the school, including handling calls, walk-in enquiries, deliveries, school mail, and parcel dispatches.
  • Attend to unwell pupils in the General Office (GO) and ensure compliance with the school’s early dismissal procedures.
  • Coordinate with the teacher in charge to update weekly school activities in the GO.
  • Pack and prepare materials for distribution to all classes.
  • Compile basic information and statistics using MS Office and file and distribute school correspondence and materials.
  • Provide logistical support for ad hoc staff requests, including preparation of school materials and facility bookings.
  • Collate student data while administering applications for financial assistance and other support schemes.
  • Provide administrative support during major school events, such as Primary 1 orientation.
  • Perform any other duties as assigned by the school.

Requirements:

  • Applicants must be Singapore Citizens, Singapore Permanent Residents, or possess an ICA-issued Long-Term Visit Pass (LTVP/LTVP+).
  • Candidates should hold at least a GCE N Level Certificate, with a preference for a GCE ‘O’ Level or an equivalent qualification, including passes in English and Mathematics or relevant WSQ certificates.
  • Ideally, candidates should have a minimum of two years of experience in frontline customer service.
  • A minimum of three years of experience in administrative support is required.
  • Relevant experience in similar roles, preferably within a school environment, is advantageous.
  • Proficiency in the Microsoft Office suite, including Word, Excel, and PowerPoint, is essential.
  • Strong communication and active listening skills are necessary.
  • Excellent interpersonal skills, with the ability to engage effectively with students, parents, and stakeholders.
  • Ability to thrive in a fast-paced environment while handling inquiries professionally and courteously.
  • A collaborative attitude with strong teamwork skills and a high level of initiative is important.
  • A strong customer service orientation is required.
  • Capability to multitask and manage time effectively.
  • Ability to address basic issues independently.
  • Basic knowledge of First Aid is preferred.
