Job Description & Requirements
Collaborate with the Program Manager, Project Managers, and Product Managers to coordinate and manage the S/4 Upgrade Program activities with a focus on optimizing program efficiency, supporting change initiatives, and ensuring robust program governance.
Responsibilities
- Stakeholder Coordination & Meeting Preparation: Prepare for and organize Stakeholder and Program Working Group meetings, ensuring alignment with program objectives and fostering productive collaboration.
- Program Issue & Risk Management: Lead the tracking of program issues, risks, and dependencies, including organizing workshops for risk identification and assessment. Maintain accurate RAID logs and support proactive issue resolution.
- Change Control & Documentation Management: Manage the change control process, including change impact assessments and maintaining comprehensive program documentation on SharePoint and other repositories.
- Program Tracking & Technical Reporting: Utilize MS Project Online, S-Curve, and Planview to update program timelines, track milestones, and provide weekly program progress reports. Prepare technical and financial summaries for monthly and quarterly reviews.
- Resource & Financial Management: Support onboarding and offboarding of resources, manage resource trackers, and align resource utilization with forecasts. Track program costs, forecast alignment, and handle purchase requisitions and order processing.
- Governance & Compliance Support: Facilitate project governance approvals, ensuring documentation accuracy and completeness. Support investment approvals and maintain detailed program records in accordance with governance standards.
Technology Proficiency:
Advanced skills in MS Project Online, SharePoint, Planview, Microsoft Office tools, JIRA, and Confluence. ITSM tools (e.g., BMC Remedy, ServiceNow) and ERP platforms, with a focus on supporting large-scale migrations and technical transformations
Certifications required:
Change management, Prosci
Project Management: PMP or Prince2
ITIL
Experience Requirements:
1. Program Coordination suppport & Stakeholder Engagement: 10+ years in project management, coordinating complex projects in multi-national environments. Skilled in setting up governance models, coordinating inputs from multiple stakeholders, and facilitating large-scale ERP deployments.
2. Risk & Issue Management: Demonstrated experience tracking program risks, issues, and dependencies, with strong skills in conducting risk assessment workshops and escalation management.
3. Change Management & Documentation: Expertise in managing change control processes, backed by Prosci® Change Management Certification, ensuring all program changes are tracked, assessed, and documented effectively.
4. Technical Program Tracking & Financial Oversight: Skilled in using project management tools to monitor program metrics, draft comprehensive status reports, and track financials in alignment with program budgets and forecasts.
5. Resource & Financial Administration: Proficient in tracking and managing program resources, costs, and forecasts. Experienced with vendor coordination, procurement processes, and maintaining accurate financial records.
