- Check visiting guests’ fulfilment and issue visitor badges
- Maintain an information directory of all departments served by a telephone system for reference in making calls
- Receive and screen phone calls, transfer to the appropriate department or representative
- Provides direction and transportation information to guests and staff in person or by phone
- Monitor visitors’ assets as security awareness
- Send and receive messages through all communication channel including fax machine and telephony system
- Make quick response to the phone calls or received emails
- Coordinate with stakeholders on Meeting arrangement, incoming VVIP visitor, Aircon Extensions request
- Maintain general filing system for all meeting requests systematically
- Have responsibility to maintain the clean and safe working environment in the reception lobby
- Raise Work Orders to Engineering upon report of property defects
- Daily Data Entries
- Inform FCC on the arrival date of importance VIPs or visitors if Receptionist is aware that FCC has not been informed by the host;
- Inform FCC immediately when VMS kiosk is not working;
- Acknowledge walkie talkie whenever Sentry Security Officer calls;
- Call FCC whenever VIP or important guests like CEO, CFO is leaving the premises;
- Perform receptionist duties and other administrative works ( i.e Raising ePR as needed)
- Perform stationery & beverage stock taking
- Coordination work with Housekeeping to ensure general cleanliness of function rooms and meeting rooms and reception area
- Assist in the booking of meeting rooms
- Perform telephone operator duties
- Assist in Client request coordination
- Perform other ad-hoc duties as and when assigned by Supervisor
Requirements:
- Candidate must possess at least a NITEC certificate in any field
- At least 3 years of working experience in the related field is required for this position
- Proficient in Microsoft Office
- Excellent communication (verbal and written) skills
- Has a good safety mindset and displays good WSH behaviour.
