Overview:
The Management Support Officer provides essential administrative and operational support to the management team. This role involves handling a variety of tasks that ensure the smooth functioning of the office, facilitating communication within the organization, and assisting in the execution of strategic initiatives.
Roles & Responsibilities:
Gift Processing:
- Process gifts in all methods of payments, and clarify any missing, incomplete or vague information with donors in order to credit donors’ funds to NUS accurately.
- E-file official gift receipts in shared folder and respond to donors’ queries (if any) in order to be accountable to all donors for their gifts in a secure manner.
Gift thank-you letters:
- Search donor giving status, alumni graduation year, Trigger, track, and mail out the Dean’s thank-you letters to donors, as well as draft the templated thank-you letters in order to ensure donors are thanked in a timely manner.
Provide Administrative support:
- Monitor and promptly attend to queries received through the school’s giving email account.
- Provide support to fundraising campaigns (e.g., expense tracking, vendor coordination, simple collateral design)
- Responsible for administrative duties like Event logistical support (e.g., preparing name tents, mock cheques, booking of venues and car park lots, etc.).
- Printing, inserting, labelling and mailing of periodical materials/documents to students and donors.
- Processing of invoices and paperwork.
- Yearly inventory stock taking, and other ad-hoc duties, in order to ensure smooth operation of the Development team.
Merchandise:
- Source, order, purchase, and receive department merchandise, gifts and collaterals, as well as monitor and replenish stocks.
Donor records and database:
- Record and compile changes in donors’ mailing and email addresses, in order to maintain an updated donors’, contact database
Requirements:
- Proficient in digital tools, such as MSOffice
- Good interpersonal, oral, and written communication skills.
- Merticulous and organized.
- Able to work independently and with tight deadlines, able to priotize tasks and escalate matters.
- Service-oriented mindset.
Specifications:
- Location: Instituition in the west.
- Working hours: Weekdays, 8.30am - 3.30pm (Part-Time)
- Temporary Contract-based
