This advertisement is recruiting for 2 positions of Administrative Assistant.
If successfully selected, you will be seconded to MOE secondary school located in St Wilfred Road.
Contract Period: From 1 January 2025 – 31 December 2025
Personnel to be deployed at the following hours:
Item 1: Admin Assistant (Admin & Customer Service)
- Mondays to Thursdays: 7:00am to 4:00pm, inclusive of 30 mins lunch break.
- Fridays: 7:00am to 3:30pm, inclusive of 30 mins lunch break.
- Service not required on Saturdays, Sundays and gazetted public holidays
Item 2: Admin Assistant (Admin & Finance)
- Mondays to Thursdays: 9:00am to 6:00pm, inclusive of 30 mins lunch break.
- Fridays: 9:30am to 6:00pm, inclusive of 30 mins lunch break.
- Service not required on Saturdays, Sundays and gazetted public holidays
The service required are set out as follows :
Item 1: Admin Assistant (Admin & Customer Services)
Manning of General Office Counter:
- Attend to queries from students, parents or members of public (phone calls & walk-ins).
- Assist in general administrative and student related duties
- Follow up with absentees.
- Checking of documents for Financial assistance application
- Inform parents on Financial assistance outcome
- Guide staff for incident report
- Preparing early dismissal slip for unwell students
- Updating of daily student attendance
- Assist in records management (incident report and late list)
- Assist in other office or admin duties assigned by the Authority
Item 2: Admin Assistant (Admin & Finance)
Manning of General Office counter:
- Attend to queries from students, parents or members of public (phone calls & walk-ins)
- Assist in general administrative and student related duties
- Checking of documents for Financial Assistance application
- Maintaining of Financial Assistance list
- Preparing outcome letter for Financial Assistance
- Guide staff for incident report
- Preparing early dismissal slip for unwell students
- Oversee bus booking orders
- Assist in basic financial duties (work payment officer on follow up)
- Assist in other office or admin duties assigned by the Authority
The personnel shall minimally have the following qualifications, skills and experience:
- At least 1 year working experience as a receptionist or doing admin in a secondary school environment.
- At least GCE “N” level certification.
- Able to communicate and write well in English and at least one other language.
- Possess good communication skills and able to work independently as well as a team player.
- Able to use Microsoft Office applications such as Word and Excel.
