Programme Executive – School of English & Chinese School of International Studies


Role Overview:

The Programme Executive plays a pivotal role in planning, executing, and managing all school programmes for the School of English and the Chinese School of International Studies. This position requires a highly organised, detail-oriented individual who can effectively oversee program logistics, coordinate with both internal and external stakeholders, and ensure compliance with professional bodies. The Programme Executive will support the delivery of quality educational experiences for students and contribute to the continuous improvement of school operations.


Key Responsibilities:

Program Planning and Execution

  • Plan, execute, and manage all school programs in line with academic schedules and standards.
  • Collaborate with lecturers and internal stakeholders (Sales, Business Development, etc.) to plan and finalise timetables for all programmes, ensuring timetables are confirmed 3 months in advance.

Reporting and Documentation

  • Prepare necessary reports and attend meetings as required.
  • Prepare and compile relevant reports, including but not limited to:
    • CSIS & SOE Student Progression Chart
    • Active Student List (as of November 2024)
    • Full-Time Lecturer and Student Timetables
    • Classroom Allocation
    • Creation and assignment of Canvas module shells
    • Assignment of students to Canvas for all intakes
    • Orientation materials (updated slides and videos)

Academic and Professional Compliance

  • Manage all communications and submissions concerning relevant professional bodies, including applying for or renewing programme status.
  • Collect and report on criteria required by these bodies, such as pass rates, student feedback, and improvement plans.

Course Management on Canvas

  • Create course IDs, intake IDs, and module shells on Canvas.
  • Manage access permissions for students and tutors on Canvas, ensuring all course materials are uploaded and ready before commencement.

Stakeholder Liaison

  • Serve as the primary contact for both internal (Sales, Business Development, Quality Assurance, Marketing) and external (vendors) stakeholders.
  • Coordinate with internal teams on course structures, packages, website updates, and other program details.
  • Process payments, manage vendor relationships, and handle tutor/marker claims (claim forms, invoices, and purchase orders).

Student Enrolment and Materials Preparation

  • Collaborate with Admissions and Business Development/Sales teams to ensure seamless student enrolment.
  • Schedule material submission deadlines for tutors and confirm all materials are in order prior to the start of classes.
  • Coordinate with Sales/BD teams and external vendors to arrange for printing of course materials.

Student Orientation and Support

  • Organise and manage student orientation sessions, keeping the student handbook updated with the latest information.
  • Handle student-related processes such as transfers, withdrawals, and refunds.
  • Issue academic documents, including study certificates, testimonials, and certificates of attendance.

Policy Implementation and Compliance

  • Contribute to the development and implementation of policies and procedures, ensuring all school activities comply with institutional standards and regulatory requirements.

Additional Responsibilities

  • Undertake any other duties, projects, and assignments as directed by the Student Services Office Manager or Director of Studies (DOS).

Job Requirements:

  • Education: Diploma or Degree in any discipline.
  • Experience: Minimum of 3 years of related experience; experience in a Private Education Institution (PEI) is an advantage.
  • Skills:
    • Strong administrative and IT skills, with a meticulous approach to organisation and task management.
    • Excellent written and verbal communication skills in English and a second language (bilingual proficiency is required).
  • Attributes: Positive attitude, ability to multitask, and adaptability to thrive in a fast-paced environment.
  • Availability: Immediate availability is an advantage.
