Contract Period: From 1 Jan 2025 to 31 Dec 2025 with option to extend the Contract for a further period of 12 months.
Working hours:
*Mondays to Thursdays: 7:00am to 4:00pm, inclusive of 0.5 hr lunch break
*Fridays: 7:00am to 3:30pm, inclusive of 1 hr lunch break
*Service not required on Saturdays, Sundays and gazetted public holidays
Scope of Services:
Reception
*Cover front desk customer service duties for Primary School and MOE Kindergarten.
*Answer phone calls, attend to walk-in visitors, takes messages, responds to enquiries and provide general useful information (in a dynamic environment where high calls volume can be expected during peak hours).
*Maintain customer related information when required, eg phone log.
*Communicate with teachers regarding parents’ feedback/ messages from phone calls or walk-in parents.
*Handle daily varied demands and queries from parents/ students/vendors/ staff etc.
*Render first level assistance to walk-in students’ needs including attending to sick and injured students, early dismissals. To escalate such cases to other colleagues in the office immediately if it is beyond superficial cases
*Handle/ support situation when student(s) vomited and soiled their clothes.
*Assist students in times of need, e.g. handling lost & found items, change of uniform, contacting teacher/ parent, locating classroom.
*Assist in receiving of goods and incoming mails.
*Maintain tidiness of the reception area at all times.
General Administration
*Assist in the counting / sorting / packing / distribution of brochures or leaflets/items to the teachers and students.
*Assist in the dissemination of information: school circulars, parents’ messages.
*Inventory management of spare uniforms and first aid items.
*Assist with the updating of Organisational Chart when new staff joins, or resigning staff leaves.
*Assist with updating the attendance system on a daily basis, using the IT-enabled system of attendance tracking.
*Any other duties assigned by School Leaders, Administrative Managers (AM) or Operation Managers (OM), including supporting school key personnel as assigned by the AM.
Qualification, Skill & Experience:
*Minimum 3 GCE “N” Level Passes including English and Mother Tongue language.
*Must be proficient in computer applications such as MS Word, MS Excel.
*Possess customer service oriented disposition with good interpersonal and communication skills.
*Shall have at least 3 years of relevant experience in administrative role and/or front desk reception, preferably with prior working experience in an educational institution.
*Able to relate well with young children.
