Paeonia is seeking an Operations Executive to join our family office team. The ideal candidate will play a key role in supporting the daily operations of the family principal, ensuring smooth execution of tasks and providing security oversight. This position requires hands-on support for the family principal’s day-to-day schedule, coordination of activities, and meticulous management of instructions. Additionally, the Operations Executive will assist in managing the family office’s commercial properties, helping to maintain high standards of organization and efficiency.

We are looking for candidates with strong organizational skills and attention to detail. They must be able to manage multiple tasks and work under pressure. Most importantly, potential candidates must perform with discretion, reliability, and professionalism.


Administrative (70%):

  • Support the Executive Assistant with the Family Office Administrative
  • Other ad-hoc activities as assigned from family principal
  • Working closely with the Executive Assistant in planning and execution of gatherings, events, and special occasions hosted by the management
  • Execution and coordination of activities, logistics, catering/temporary staff, managing contractors and services and overseeing event logistics


Facilities Management (30%):

  • Support in the management and maintenance of commercial property sites as assigned, including daily operations of the building, including managing facilities, security, and vendor relationships.
  • Conduct regular checks and inspection on grounds to ensure property is well maintained.
  • Ensure building statutory requirements are complied.
  • Review and recommend replacement/ improvement plans for managed sites.
  • Provide essential customer service support to the residents and owners.
  • Identifies relevant tender notices and liaise with internal divisions, oversee the entire tender process. (e.g. attending site briefing, costing provisions, quality proposal, tender submission/interview)
  • Prepare a management report for the Family office, including rent roll, tenant feedback, etc.
  • Be the point of contact and maintain relationships with external stakeholders, such as building tenants and local government.


JOB REQUIREMENTS:

  • Minimum Diploma in Events & Project Management or equivalent; with at least 5 years relevant working experience in Project Management/ Coordination in Family Office/ MINDEF/ MHA.
  • Class 3 Driving License is highly preferred.
  • Strong attention to detail with exceptional organizational and multitasking skills.
  • Proven ability to excel in fast-paced environments, effectively prioritize tasks, and consistently meet deadlines.
  • Excellent communication skills, with a talent for engaging and collaborating with a wide range of stakeholders.
  • 5-day work week, must be flexible in scheduling with availability to work on weekends

Candidates with prior Project Management experience in MINDEF or MHA is highly preferred.
