Workplace Experience Specialist cum Receptionist (1 Year Contract)

Key Responsibilities:

  • Support the Workplace Experience Manager in ensuring the proper functioning of building systems (HVAC, lighting, plumbing), and report any issues requiring repairs or maintenance.
  • Manage relationships with vendors providing services such as cleaning, security, and maintenance.
  • Oversee office space utilization to ensure efficient use of space, including seating arrangements and office layout.
  • Assist with office improvements, relocations, or renovations, ensuring projects are completed on time and within budget.
  • Help monitor costs for office operations and identify potential areas for cost savings.
  • Greet visitors and answer phone calls in a friendly and professional manner.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist with maintaining office supplies and provide administrative support to staff.
  • Ensure the office meets safety standards and assist with conducting safety checks.

Requirements:

  • Brings 2 years of experience in facilities and workplace management
  • Strong understanding of office-specific building systems (HVAC, lighting, electrical, plumbing, etc.) and proactive maintenance strategies.
  • Demonstrated ability to manage vendors and contractors for office-related services (cleaning, security, IT support, etc.).
  • Strong organizational and project management skills, with the ability to prioritize and handle multiple tasks efficiently.
  • Excellent communication skills and experience working with internal teams, external vendors, and contractors.
