BROAD FUNCTION

  • Lead and manage Admin Team to provide front desk functions such as assisting clients, coordinating admissions, billing and other administrative duties at the Business Office and the finance planning for Ren Ci @ Woodlands.

ROLES AND RESPONSIBILITIES

  • Lead, manage and support the Admin Team at Business Office of Ren Ci @ Woodlands.
  • Ensure the team provides quality and efficient front desk assistance to clients at the Business Office or via phone calls or emails.
  • Plan and ensure the Business Office processes are implemented and executed effectively and timely, for example financial counselling for new admissions, application processing and billing.
  • Plan and coordinate admissions of residents / clients to Nursing Home (NH) / Senior Care Centre (SCC).
  • Provide administrative support such as monitoring of payments & debts and accurate and timely submission of data to relevant authorities.
  • Assist residents / clients with the application of government grants/subsidies (e.g. financial assistance grants).
  • Work with HQ Finance Department and stakeholders to support the finance planning for Ren Ci @ Woodlands, such as budgeting, monitoring the expenditure and submission of claims to relevant authority.
  • Manage daily administrative functions of Nursing Home and Senior Care Centre
  • Arrange and coordinate for meetings, including preparing and distributing documents
  • Prepare reports, dashboard, statistics and presentation material for internal and external stakeholders
  • Manage and maintain the filing system/ records to ensure timely retrieval of files and record when required
  • Manage petty cash for Nursing Home and Senior Care Centre
  • Support the Operations team when require
  • Organise or assist in welfare activities as and when necessary
  • Review and enhance work processes, e.g. billing and payment monitoring for Admin Team
  • Drive innovation and work improvement initiatives
  • Perform other duties as and when assigned by Executive Director

Requirements

  • 1 Year Contract
  • Minimum Degree in any Fields but preference in Finance, accounting or relevant fields
  • Preferably 5 years of relevant working experience in healthcare industry or eldercare setting
  • Strong leadership and management skill
  • Strong proficiency in MS Office Word, Excel, PowerPoint and Outlook. Able to adapt and use different software applications
  • Good interpersonal, communication and organisational skills
  • Good oral and written English
  • Good team player
  • Able to work in a fast-paced environment
  • Enthusiastic and passion for value-adding to elderly lives and client interaction
