Our client is an established and global commodity MNC. The role is a newly created position that reports to the GM. The co allows for a WFH arrangement (1 day per week) and is based in town.


Job Purpose

The role involves overseeing office administration, supporting commercial operations, and implementing management control systems for the Commercial VP and subsidiaries. Responsibilities include ensuring efficient office operations, supporting financial and legal compliance, and developing performance measurement systems using advanced tools like Power BI to enhance data-driven decision-making.


Responsibilities

Office Administration and Accounting (estimated 60% of the time)

  • Manage office operations, ensuring smooth workflows and compliance with global HQ reporting and processes covering accounting, tax and other financial reporting requirements.
  • Manage supplier payments in compliance with internal regulations and maintain legal/tax reporting for external entities.
  • Liaise with external providers for procurement (insurance, office rental, IT, etc.).
  • Maintain and update internal control documents (staff handbook, travel policy, procurement procedure).
  • Support the GM in presentations for the Board of Directors and other company reporting requirements.
  • Keep the SCDF system up to date for each parent company.
  • Organize company events as needed, manage general office supplies, and provide administrative support.

Performance Measurement and Control (estimated about 40% of the time)

  • Design, implement, and manage cross-functional management control systems for the Commercial VP's operations, including subsidiaries and other projects.
  • Maintain and update the Digital VP Dashboard, ensuring timely reporting, accuracy, and accessibility for the team.
  • Develop and manage Power BI dashboards to track key performance indicators (KPIs), collaborating with stakeholders to refine metrics and drive continuous improvement.
  • Analyze KPIs to identify trends and performance gaps, working with regional offices to implement targeted action plans.
  • Prepare reports for audits, track execution plans based on recommendations, and ensure ongoing compliance with corporate policies, including safety and gender diversity.
  • Monitor and control the subsidiaries' monthly budget, identifying deviations and updating the PBI dashboard accordingly.

Technical Knowledge and Skills


Essential:

  • Advanced proficiency in Microsoft Office (Excel, Word, etc.).
  • Strong office administration experience, including budget management and supplier coordination.
  • Strong communication, collaboration, and organizational skills.
  • IT savvy with a passion for improving office processes.
  • Knowledge of legal and tax procedures.

Desirable:

  • Knowledge of SAP FICO/MM
  • Experience with Power BI, BW.
  • Experience in marketing and familiarity with Spanish language skills (but this is not a must)

Experience and Qualifications

  • Diploma/Degree in a relevant field with more than 5 years of office admin and accounting (including tax and financial reporting) experience.
  • Experience supporting small offices (under 30 staff) is beneficial but not essential.
  • Proactive, adaptable, and able to manage multiple tasks efficiently.

Selling/attractive pts:

  • This is a global MNC with a small office set up in Singapore (less than 10 employees). The workload is generally manageable for an efficient employee who learns the ropes quickly.
  • The role is a broad role covering office admin, accounting support, providing admin support to operations and assisting management on IT systems.
  • The co has a collaborative and multinational work culture.
  • Th co allows for a WFH arrangement of 1 day per week. The company’s official work hours are from 9 am to 5 pm (but this does not preclude the requirement to work later when required)
